Administrative Assistant
Administrative Officer responsibilities include meeting arrangements, preparing reports and maintaining appropriate filing systems. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment.
Ultimately, a successful Admin Officer should ensure the efficient and smooth day-to-day operation of our office.
Responsibilities
- Plan meetings and take detailed minutes
- Write and distribute email, correspondence memos, letters, faxes and forms
- Assist in the preparation of regularly scheduled reports
- Maintain contact lists
- Submit and reconcile expense reports
- Provide general support to staff and visitors
- Act as the point of contact for internal and external clients
- Oversee daily administrative operations and ensure adherence to policies and procedures.
- Manage office supplies, equipment, and maintenance to ensure smooth operations.
- Coordinate and schedule meetings, appointments, and travel arrangements for senior management.
- Maintain and update records, databases, and filing systems in an organized manner.
- Handle incoming and outgoing correspondence, emails, and calls.
- Prepare reports, presentations, and documents as required.
- Assist in budget preparation and expense tracking.
- Monitor and implement office policies for efficiency and compliance.
- Liaise with internal teams, external partners, and vendors as needed.
- Identify opportunities for process improvements and implement best practices.
Requirements and skills
- Proven experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, like printers and fax machines
- Proficiency in GSuite and MS Office (MS Excel and MS PowerPoint, in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- High School degree; additional qualification as an Administrative Officer or Secretary will be a plus

Pay: From Php18,000.00 per month
