Administrative Assistant

• Performs administrative and office support activities, including but not limited to answering phone calls, maintaining files, equipment inventories and storage
• Maintains supplies inventory by checking stock to determine the inventory level; anticipates needed supplies; places and expedites orders of the supplies and verifies receipts of the supplies
• Liaises with the other admin assistants for any correspondences for distribution or dissemination in each area of responsibility
• Responsible for providing fuel tickets to field personnel and closely monitors and prepares reports for the daily fuel consumption
• Monitors the vehicle/service car condition and odometer; reports to the HSE any irregularities pertaining to the vehicles/service car
• Performance multifaceted general administrative tasks to support the operational needs of the project
• Manage office supplies stock and place orders
• Prepare regular reports on expenses and office budgets
• Maintain and update company databases
• Organize a filing system for important and confidential company documents
• Answer queries by employees and clients
• Maintain a company calendar and schedule appointments
• Book meeting rooms as required
• Distribute and store correspondence (e.g. letters, emails and packages)
• Prepare reports and presentations with statistical data, as assigned
• Arrange travel and accommodations
• Schedule in-house and external events
• Visit different project area together with the Chief Platform
• Generate minutes of the meeting
• Coordinates with all departments from different projects
• Performance multifaceted general administrative tasks to support the operational needs of the project.
• Other tasks that may be assigned
