Duties and Responsibilities
- Provide comprehensive administrative support to ensure efficient day-to-day operations. Handle email correspondence, calendar management, and scheduling for the team.
- Supervise members of the department, equally ensuring responsibilities are performed by tracking and prompt follow-ups as necessary to avoid interruptions in the department's workflow process
- Organize and maintain digital files, ensuring accessibility and version control. Create and update databases and records for relevant information and other data.
- Assist in the creation, editing, and formatting of documents and presentations.
- Schedule and coordinate virtual meetings, including setting up video conferencing tools and distributing agendas. Take meeting minutes and follow up on action items as needed.
- Serve as a point of contact between different departments, clients, and external partners. Respond to inquiries, redirect communications, and facilitate information flow.
- Coordinate travel logistics, including booking accommodations, transportation, and managing itineraries, as necessary
- Assist in the preparation and submission of transaction receipts, and expense reports, ensuring accuracy and adherence to company policies.
- Monitor and prioritize tasks within the Strategy and Development Department, ensuring deadlines are met and projects progress smoothly.
- Collaborate with team members to facilitate workflow and project coordination.
- Submit reports and prepare proposals and presentations as needed
- Other tasks that may be assigned from time to time
Qualifications:
- Proven experience as an administrative assistant or in a similar role.
- Able to monitor and guide the Department
- Strong organizational skills with a keen attention to detail.
- Proficient in virtual communication tools (email, video conferencing, etc.).
- Self-motivated and able to work independently with minimal supervision.
- Excellent written and verbal communication skills.
