About the Role
This is a multifaceted support role offering a mix of business, personal, and administrative tasks. You'll work closely with a seasoned executive to manage daily operations, communications, and priorities—ensuring everything runs smoothly.
Key Responsibilities
Executive Support
- Manage calendars, appointments, and meetings
- Draft emails, prep agendas, take virtual meeting notes, and follow up on action items
- Monitor inboxes and messaging platforms—responding or escalating as needed
- Coordinate domestic and international travel plans
Business Planning & Reporting
- Track progress on business goals and KPIs
- Prepare summary reports, dashboards, and planning snapshots
- Support operational workflows and pipeline tracking
LinkedIn & Personal Branding
- Maintain and enhance the executive’s LinkedIn profile
- Draft content aligned with business goals and thought leadership
- Ensure consistent online visibility
Events & Office Coordination
- Organize business and personal events, logistics, invites, bookings, and follow-ups
- Oversee office supply needs and staff day-to-day requirements
- Manage travel logistics from start to finish
Personal Assistance
- Handle personal appointments, errands, and life admin
- Manage online orders, subscriptions, and reminders
Administrative & Operational Support
- Maintain organized digital systems via Microsoft 365 (OneDrive, SharePoint)
- Handle expense tracking and vendor payments
- Research tools and service providers as needed
Basic IT & Tech Coordination
- Perform light IT troubleshooting and software updates
- Liaise with external IT support when needed
Requirements
Key Qualifications
- At least 3 years of experience in a similar Executive Assistant, Personal Assistant, or Virtual Assistant role
- Available Monday to Friday during Perth business hours (AWST)
- Strong command of Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams, OneDrive)
- Comfortable with virtual collaboration tools (Zoom, Slack, etc.)
- Experience managing LinkedIn or online presence is a strong advantage
- Tech-savvy and confident handling systems, subscriptions, and IT tasks
