We're looking for an Executive Assistant who can provide high-level of executive support to the executives and provide graphic support. For this role, you will be doing a mix of calendar/email management, document formatting, and graphic support to build designed diagrams based on drawings provided by the client. Diagrams will go into proposals, and tender documents and reports for clients.


Requirements


  • Any bachelor’s degree
  • Demonstrated experience in executive assistance and graphic design or similar roles
  • Excellent written and verbal English communication skills.
  • High-level document formatting, visual presentation, and branding sense.
  • Self-driven and reliable, with initiative to proactively follow up on tasks and actions.
  • Familiarity with Australian business culture or experience working with AU clients is preferred.

Duties & Responsibilities


  • Graphic support in building designed diagrams based on drawings provided by the client
  • Prepare proposals and tender documents reports for clients.
  • Manage the Director’s calendar, including client meetings and personal appointments.
  • Create and maintain task trackers (e.g. Asana, ClickUp).
  • Format and prepare documentation, presentations, proposals, and reports.
  • Monitor inboxes and manage routine correspondence.
  • Liaise with clients, send reminders, and coordinate onboarding processes.
  • Maintain digital file structures, templates, and process documentation (e.g. SOPs).
