Executive Assistant – Inbox, Calendar & Operations Support (Remote, Part-Time, CST)

About the Role:
We’re hiring a proactive, highly organized Executive Assistant to support one of our clients, a multi-business entrepreneur based in the Midwest U.S. They run several growing businesses, and are looking for a trusted right-hand who can bring structure, systems, and calm to their workweek.
This is a part-time remote role with 20 hours/week, and requires at least 2 hours of daily overlap with US Central Time for check-ins and top-priority updates.

Key Responsibilities
Inbox & Calendar Ownership
- Manage Gmail inbox, triage, draft replies, flag follow-ups, maintain zero inbox
- Maintain family and business calendars, schedule sports, camps, appointments, and block focused work sessions while preventing conflicts
- Act as the owner’s “gatekeeper”, screen calls, coordinate with investors, lenders, brokers, and attorneys, and keep communication flowing
- Send a weekday morning priorities text outlining top tasks and time blocks
Planning, Tasks & Follow‑Through
- Create and manage tasks in Monday.com for owners and the team
- Track progress and follow up to ensure strong task completion, close loops without reminders
- Prepare checklists and system setups for new hires or VAs
Process & Project Support
- Identify bottlenecks in workflows and recommend improvements
- Draft SOPs and record Loom walkthrough videos
- Run basic reports, clean up data, and update KPI dashboards weekly in Google Sheets
- Research best practices, vendor options, and tool comparisons via web and ChatGPT
- Support light vendor coordination, request quotes, schedule services, and follow up on tasks
Logistics & Personal Support
- Research and manage online purchases for business and personal use
- Handle errands and logistics like appointment booking, bill payments, making calls, and gift ordering
- Coordinate travel bookings, flights, hotels, and basic itineraries
Document & File Management
- Organize digital files in Google Drive, scan, rename, tag, and structure PDFs and images properly

Who You Are
- A rockstar EA with proven experience managing inboxes, calendars, and executive admin
- Excellent written and spoken English communicator
- Tech-savvy and confident using online tools, systems, and AI
- Exceptionally organized with keen attention to detail
- Proactive, reliable, and resourceful — you spot problems before they arise
- Comfortable working with a US-based client in CST timezone
Bonus If You Have:
- Experience with basic automations
- Comfortable troubleshooting light tech issues (Zoom, calendar sync, etc.)
