About the Role
As an Executive Assistant, you’ll play a key role in keeping leadership organized and operations flowing. From managing calendars and coordinating travel to handling communications and supporting internal projects, you’ll be the go-to for high-level admin support. If you’re detail-oriented, proactive, and thrive in a fast-paced, collaborative environment—this role is for you.
What You'll Be Doing
Calendar, Meeting & Travel Coordination
- Manage executive calendars, ensuring meetings are scheduled, prioritized, and free of conflicts.
- Coordinate internal and external meetings, including booking rooms, sending invites, and preparing agendas.
- Arrange local and international travel logistics including flights, accommodations, and transport.
- Screen and manage incoming communication with a high level of confidentiality.
- Serve as a communication gatekeeper, screening inquiries and managing follow-ups.
- Draft, review, and proofread communications, emails, and basic reports.
- Create compelling and on-brand content across digital platforms, aligning with campaign goals and audience engagement strategies.
- Ensure professional tone and accuracy in all outgoing correspondence.
- Process expense reports, purchase orders, and office requisitions.
- Maintain records, filing systems, and internal documentation.
- Provide administrative assistance for department projects or recurring tasks.
- Collaborate with other EAs and admins to ensure smooth cross-team coordination.
- Help organize internal events such as team meetings, client sessions, and staff engagement activities.
- Coordinate catering, materials, and attendee lists.
Requirements:
What We're Looking For
Education:
- A Bachelor's Degree OR the equivalent combination of education and relevant experience.
- Minimum of 1 year of experience supporting senior executives or C-level leaders.
- Calendar and meeting management using tools such as Outlook or Google Calendar.
- Travel planning and logistics coordination, including flights, hotels, and transport.
- Expense reporting and use of platforms like Concur or SAP.
- Preparing professional business communication and documentation.
