We are seeking a reliable and experienced Fleet Encoder to join our team.
Job Summary:
The Encoder for Fleet Maintenance Monitoring is responsible for accurately recording, updating, and maintaining data related to fleet vehicles’ repair, maintenance, and operational performance. The role ensures that all fleet-related information is properly documented in the system to support effective monitoring, timely preventive maintenance, cost tracking, and compliance with company and regulatory standards.
Key Responsibilities:
- Encode and update fleet maintenance records, including preventive maintenance schedules, repair histories, parts replacement, and service costs.
- Maintain accurate databases for fuel consumption, mileage, tire usage, and vehicle performance.
- Record and track purchase orders, job orders, and service requests related to fleet maintenance.
- Coordinate with mechanics, drivers, and fleet coordinators to collect and verify maintenance data.
- Ensure timely encoding of data to avoid lapses in maintenance schedules.
- Generate reports on fleet performance, maintenance costs, downtime, and compliance for management review.
- Assist in monitoring warranty claims, supplier billings, and service agreements related to fleet maintenance.
- Maintain proper filing and safekeeping of physical and digital records for audit purposes.
- Support fleet and logistics departments in analyzing trends and identifying recurring maintenance issues.
- Perform other clerical and administrative tasks as assigned by the Fleet Supervisor/Manager.
Qualifications:
- Bachelor’s degree or diploma in Business Administration, Office Administration, Logistics, or related field.
- Experience in data encoding, clerical, or fleet/transport operations is an advantage.
- Proficient in Microsoft Office (Excel, Word) and familiar with fleet management or ERP systems is a plus.
- Strong attention to detail and accuracy in data entry.
- Good organizational and time-management skills.
- Ability to handle confidential information with integrity.
- Willingness to coordinate with field personnel and operations staff.
