We are seeking a detail-oriented and resourceful HR & Admin Executive to support our growing regional team remotely from the Philippines. This role will report to the HR Manager in KL and work closely with cross-functional stakeholders across Singapore and Kuala Lumpur to ensure smooth execution of HR processes, administrative operations, and IT coordination tasks. You will be the go-to person for employee onboarding, documentation, and support across tools and platforms.
Key Responsibilities:
Your primary responsibilities will include:
- Assist in the recruitment process, including tracking applicants, scheduling interviews, conducting first-round screening interviews, and coordinating interview logistics.
- Prepare HR documents such as offer letters, employment contracts, and reference letters.
- Support employee onboarding and offboarding processes, including documentation, HR orientation, and exit formalities.
- Maintain accurate and up-to-date employee records, leave tracking, and HR databases.
- Support employee engagement initiatives and respond to day-to-day HR enquiries.
- Ensure HR processes comply with internal policies and local employment regulations.
- Coordinate travel bookings, airfare, and accommodation approvals for business travel.
- Plan and execute office-related projects such as relocations, layout changes, or new process implementations.
- Monitor and improve process effectiveness post-implementation.
- Oversee procurement of office supplies, vendor subscriptions, and software renewals.
- Handle the administration of corporate mobile plans (e.g. SIMBA).
- Coordinate employee IT onboarding: account creation (e.g., Google Workspace), system access, and tools provisioning.
- Provide basic IT assistance to staff, including access setup and account issues.
- Coordinate with external IT vendors (e.g., Fronx) for more complex technical issues, ensuring timely resolution.
- Maintain access control registers and monitor renewal deadlines for IT platforms.
- Track laptop inventory and ensure all office equipment is functional and secure.
- Build and maintain effective working relationships with vendors and service providers to support operational needs.
- Negotiate for favourable rates and service terms with suppliers, while ensuring timely delivery of goods or services.
Qualifications and Experience
To be a successful applicant, you are likely to meet the following criteria:
- 3–5 years of relevant experience in HR administration or business operations, ideally in a regional or remote setup.
- Excellent written and verbal communication skills in English.
- Strong attention to detail, multitasking, and organisational skills.
- Proficiency in using cloud-based tools such as Google Workspace, HR systems, and task management platforms (e.g. Asana, Notion).
- Basic familiarity with IT tools and comfort working with vendors for troubleshooting and procurement.
- Self-motivated, resourceful, and able to work independently across time zones.
- Prior experience in a tech, fintech, or financial services industries is a plus.
- Familiarity with employment documentation across Singapore, Malaysia, or Philippines is an advantage.
- Prior experience managing vendors, coordinating IT onboarding, or supporting remote teams.
- Comfortable working in a lean team with shifting priorities.

- Location: Remote (Philippines-based)
- Work Hours: Aligned with Singapore Time Zone (SGT), Monday to Friday
