Job Overview:
We are seeking a highly organized and proactive HR & Admin / Purchasing Officer to join our team. This multifaceted role requires a detail-oriented individual who can manage employee records, support recruitment and onboarding processes, oversee administrative tasks, and handle purchasing and supplier coordination. You will work closely with management to ensure a positive work environment and operational efficiency.
Key Responsibilities:
- Employee Records & Documentation
- Maintain and regularly update comprehensive employee records including personal information, employment history, contract details, and performance documentation.
- Oversee purchasing and order charts
- Keep all staff records and align with laws and standards.
Employee Life Cycle Management
- Monitor and document employee attendance, including holiday usage, sick leave, absenteeism, and other types of leave.
- Coordinate with Payroll to ensure all relevant updates (e.g., leave, salary changes, bonuses, deductions) are accurately reflected.
- Support the transition from probation to permanent employment and manage contract renewals or terminations.
Recruitment & Onboarding
- Lead recruitment efforts including drafting and publishing job advertisements on various online platforms.
- Review applications, conduct initial screenings, schedule interviews, and liaise with hiring managers.
- Conduct and manage new hire onboarding including delivery of company handbooks, orientation sessions, and policy reviews.
HR Administration & Compliance
- Assist management with employee evaluations, disciplinary actions, and performance improvement plans.
- Ensure company compliance with all labor laws, including staying informed of changes in employment regulations and applying them as necessary.
- Manage all employee permits, legal documentation, and ensure timely renewals or updates.
- Making sure all permits, and legal documents are up to date.
- Updates on any new laws regarding employees or the company. And making sure the company is abiding by any new changes.
- Providing relevant and updates to Payroll information of employees.
Office & Administrative Support
- Perform daily office administration duties such as organizing files, maintaining office systems, and supporting overall operations.
- Source, order, and manage inventory of office supplies and materials.
- Coordinate with local vendors and maintain accurate records of purchases and expenses.
Internal Communication & Culture
- Promote and maintain a positive, inclusive, and productive workplace environment.
- Organize staff events including team building activities, company trips, and employee engagement initiatives.
Additional Responsibilities
- Assist company owners and managers with ad-hoc HR, administrative, and purchasing tasks.
- Be available for onsite visits and company-related travel when necessary.
- Participate in the planning and execution of internal audits and continuous improvement initiatives related to HR and administration.
- Track employee probation periods, start dates, and tenure within the company.
- Document employee progress using structured tools such as progress reports, promotion history, and incident logs.
- Ensure secure and confidential handling of all HR documents and personnel files.
