A. RESPONSIBILITIES
1. Inventory Management
· Record Keeping: Maintaining accurate records of stock levels, stock movements, and inventory transactions
· Data Entry: Inputting information into inventory management systems and spreadsheets.
· Inventory Tracking: Monitoring stock levels to identify shortages and potential overstocking issues.
· Receiving and Processing: Receiving and processing incoming shipments, ensuring accurate recording of details.
· Physical Counts: Conducting inventory counts and audits to verify accuracy, both for Pharma and General Warehouse
· Organization: Maintaining a neat and organized Pharma inventory storage area
· Problem Solving: Assisting with the resolution of discrepancies in inventory procedures and/or product.
· Communication: Collaborating with team members, suppliers, and warehouse staff.
Other Duties: Assisting with other duties as assigned, which may include data entry, answering phones, and assisting customers.
2. Purchasing
· Responsible for ordering materials, supplies, consumables and equipment while doing follow through with vendors on shipment and delivery (internationally or locally);
· Negotiating favorable prices and Credit terms with suppliers
· Collects all approved purchase requisitions after evaluation, Create Purchase Orders and manage PO corrections;
· Check Purchase Order status, invoices (price and negotiations) and deliveries;
· Monitors inventories, vendor creations/change requests if needed;
· Provide recommendations, coordination and support for the purchase of goods and/or services;
· Work closely with relevant departments to ensure the necessary products needed to purchase are in line with what the company needs;
· Maintain strong working relationships with our vendors.
3. Logistics: Pharma Product Lines
· Arrange and process outgoing shipments and deliveries for the Pharma Lines
· Prepare the necessary documents for Pharma Product Line Deliveries
· Perform inventory controls and keep quality standards high for audits;
· Manage Pharma inventory supplies;
· Signing delivery notes upon receipt of shipments and keeping necessary documentation for possible audit;
· Ensuring that the facility and deliveries remains clean, sanitary, and well-organized.
· Reporting all breakages, spills, discrepancies, loss and other possible cases;
· Ensures necessary permits, licenses and documentations are processed and aligned.
4. Receipt and Inspection of Deliveries: Pharma Product Lines and Direct Delivery to Corporate Office
· Conduct through checking and inspection of the deliveries and inventories upon receiving and dispatching
· Coordination with Suppliers for any problems regarding the delivered items
· Documentation and reporting of delivery variance to accounting department
QUALIFICATIONS
● Bachelor’s degree in Business or Science, or any related field.
● At least 3+ years solid experience as inventory and purchasing officer, preferably in the medical supplies or pharma industry
● Must have knowledge on healthcare services
● Excellent communication skills, both written and verbal;
● Must be proficient in computer application
● Excellent interpersonal skills;
● Excellent negotiation skills;
● Good mathematical skills
● Can work independently
● Willing accept fieldwork
Job Type: Full-time
Pay: Php20,000.00 per month
