Carabao Cloud Solutions, Inc. is a fast-growing company based in Tayabas, Quezon Province. We work with Managed Service Providers (MSPs) across the United States. These MSPs rely on us to support their day-to-day IT operations using industry-standard tools like Remote Monitoring and Management (RMM) platforms, ConnectWise for ticketing and service automation, Veeam for backup and disaster recovery, and Microsoft Azure for cloud infrastructure and administration. At Carabao, team members are trained to navigate these systems and deliver high-quality technical support in a fast-paced, real-world environment.
What we are looking for?
We are seeking a detail-oriented and highly responsible Purchasing Coordinator to oversee monitoring client billing and contract renewals and managing relationships with vendors in accordance with the terms and conditions of the client. This role plays a key part in optimizing our operations and delivering outstanding service to clients within our fast-paced IT services organization.
Essential Duties and Responsibilities
- Source and procure IT hardware and software to meet both organizational and client requirements.
- Oversee the procurement lifecycle by tracking shipments, maintaining optimal inventory, and coordinating on-time deliveries.
- Negotiations on pricing, agreements, and available incentives.
- Facilitate vendor management, including onboarding new suppliers, managing contract renewals, and resolving service or delivery issues.
- Prepare, issue, and maintain client invoices for hardware/software purchases.
- Work closely with finance teams to reconcile accounts, ensure billing accuracy, and expedite payment processing.
- Resolve client concerns related to billing, invoicing errors, or purchase discrepancies.
- Monitor and manage software license renewals and hardware warranties.
- Manage renewal timelines for vendor agreements, contracts, and recurring subscriptions.
- Serve as a point of contact for client questions related to hardware, software, and billing.
Required Skills and qualifications
- Proven experience in purchasing, procurement, or vendor management (preferably in IT or tech services).
- Strong understanding of IT hardware and software products.
- Excellent organizational and communication skills.
- Proficiency in Microsoft Office and procurement/invoicing systems (Quickbooks Online).
- Ability to multitask and prioritize in a fast-paced environment.
- Strong communication skills for client communication.
- Can amend work during the night shift.
- Experience with PSA or ERP systems
- Basic financial acumen related to purchasing and billing.
- Amenable to work in Tayabas, Quezon Province for onsite reporting.
