Job Summary:
We are seeking a highly skilled, dynamic, organized, detailed individual in oral and written communication in English (US English). Candidate must be able to review and edit medical reports in the medical context and grammar and spelling and specialty to include mental and physical specialties (Psychiatry, Psychology, Internal med, Ortho, Neuro, Pedia for the most part). Candidate must be very energetic and charming on the phone. Candidate must be experienced in Medical Receptionist/Editor to join our team. The responsibilities include providing excellent customer service, handling multiple emails, answering the phone, reviewing medical reports. The ideal candidate will be required to have experience working in transcription office setting and strong administrative and communication skills. This position is to work from home and the work site must be with a quiet environment; just as if you were in an office setting.
Duties:
- Manage the day-to-day work flow that comes from the clients (Clinics, doctors, agencies).
- Assign the work to appropriate transcribers and interpreters with proper notation and accuracy.
- Log all the information in our log sheets, incoming and outgoing work flow and websites.
- When work is received from transcribers, review the work before it is uploaded back to the clinics, doctors or agencies.
- When necessary, send proper email to doctors, interpreters, clinics and agencies in a professional way.
- In general handle incoming and outgoing emails and faxes.
- Review medical reports to make sure report complies with clinic/state requirements in the medical aspect as well as reviewing the spelling and grammar of each report.
- Answer telephone calls for the various needs, especially setting up appointments for interpretation. Respond to inquiries and direct calls to appropriate staff members as needed.
- Make phone calls to assign the various interpreting appointments and also to confirm appointments with interpreters to include clinics for confirmation and inquiries about any transcription information.
- Log the different faxes and scans we receive for new interpreting appointments or for any transcription needs.
- Constantly keep track of the cases on a daily basis and update them in the log sheet or web sites.
- Assist with billing as necessary (billing in general and paying interpreters).
- Be involved in the general workflow of the business including any changes as the company grows.
- Ensure compliance with HIPAA regulations regarding patient privacy.
- Collaborate with staff to coordinate general work flow.
Requirements:
· Ideal candidate must own a modern computer and must have high speed internet at
home.
· Proficiency in MS Office (MS Excel and MS Word, in particular).
· Proficiency in Google Suite (Google Sheets and Google Docs, in particular).
· Must have at least 3 years of proven experience in office environment and transcription editing in English. Better if past experience in office administration.
· Excellent time management skills and the ability to prioritize work.
· Strong organizational skills with the ability to multi-task.
· Excellent coworker communication skills.
· Must be able to handle different audio formats to listen for review and edit as needed
as well as being able to manage PDF files and other document format.
· Candidate must be highly knowledgeable of the English language as candidate must
review medical reports, must have medical background in terminology as editing must
be necessary in occasions.
· Candidate must be flexible in work shifts as the office operates in PST (California, US).
The position is for 5 or six days a week and must be available for weekends (US time). This to be discuss in interview. Depending on experience starting salary ranges from $350.00 too $400.00 (for a 5-day/8-hour shift) American Dollars depending on experience and skills.
