About the Role
We are looking for a Project Operations Coordinator to take ownership of project execution, task tracking, and reporting across multiple departments. You will play a critical role in ensuring that strategic projects particularly in New Product Development (NPD) and Engineering Change Requests (ECRs) stay on track, deliver measurable results, and are continuously optimized.
You will also support the Sales Manager by building out reports and summaries using HubSpot data and helping hold the sales team accountable through regular insights and follow-ups. Over time, you are expected to become the internal Subject Matter Expert (SME) on ClickUp, automate repetitive workflows using AI tools, and support decision-making through actionable reporting.
This role is ideal for someone who enjoys variety, can confidently communicate with stakeholders, and has a “tinkerer” mindset—curious, analytical, and proactive in finding ways to improve how we work.
Responsibilities
- Own day-to-day project coordination using ClickUp
- Review and progress tasks across high-impact projects (e.g., NPD, ECRs)
- Support project leads in keeping timelines, scopes, and deliverables aligned
- Create, maintain, and improve project templates and documentation
- Serve as the ClickUp administrator keeping the platform structured, clean, and aligned with user needs
- Build and deliver regular sales reports using HubSpot data
- Support the Sales Manager in analyzing pipeline data and crafting weekly performance summaries
- Contribute to continuous process improvements using automation and AI tools
- Collaborate across departments and help synthesize internal/external data into usable insights
- Create polished, audience-appropriate reports and documentation
Competencies and QualificationsMust Have:
- 3–5 years of experience in a project coordination or operations support role
- Strong project and sales data management skills
- Excellent organizational and task-tracking abilities
- Proven experience using project management software (e.g., Asana, MS Project, ClickUp)
- Proficiency in HubSpot or similar CRM software
- Solid reporting skills: ability to create, interpret, and optimize reports
- Above-average written and verbal communication skills in English
- Ability to generate high-quality work product (e.g., reports, summaries) tailored to different audiences
Nice-To-Have:
- Experience working in service or manufacturing industries
- Proficiency with ClickUp
- Strong Excel skills (e.g., pivot tables, lookups, formula creation)
- General interest in AI tools and automation
