Job Title: Receiving Supervisor
The Receiving Supervisor is responsible for overseeing all activities related to the receiving, inspection, and proper storage of inbound goods. This role ensures that all shipments are received accurately, in good condition, and in a timely manner. The position plays a key leadership role in managing warehouse staff, enforcing safety standards, optimizing workflows, and maintaining inventory accuracy to support efficient supply chain operations.
Key Responsibilities:
Oversee Inbound Operations
- Supervise the receiving of all inbound shipments and ensure deliveries match purchase orders in terms of quantity, quality, and specifications.
- Enforce the CAT principle (Complete, Accurate, and Time-bound) during the receiving process
Inspection and Documentation
- Direct and validate the inspection of incoming goods for damages, shortages, overages, or non-compliance issues.
- Ensure accurate and timely documentation of all discrepancies and coordinate resolution with the procurement and quality assurance teams
Inventory Handling and Accuracy
- Implement and monitor FIFO (First In, First Out) and FEFO ( First Expiry, First Out) inventory management methods to ensure optimal stock rotation and minimize waste.
Staff Supervision and Development
- Plan, assign, supervise, and evaluate the performance of receiving personnel
- Support recruitment, onboarding, skills training, and ongoing development to build a capable and efficient team.
Warehouse Organization
- Ensure that receiving and warehouse areas are consistently clean, organized, and compliant with 5S principles or similar workplace organization standards.
- Maintain layout for efficient flow and space utilization.
Safety and Compliance
- Enforce warehouse safety protocols and conduct routine inspections to ensure compliance with OSHA or other relevant safety standards.
- Promote a culture of safety and accountability among team members.
Reporting and Coordination
- Generate and maintain accurate records and reports related to receiving activities, discrepancies, and stock movement.
- Communicate effectively with Procurement, Inventory Control, and other departments to resolve issues and improve processes.
Cycle Counting and Stock Audits
- Coordinate regular cycle counts, stock reconciliations, and inventory audits to maintain high levels of accuracy.
- Investigate and resolve inventory discrepancies promptly.
Damaged and Special Stock Handling
- Manage the proper handling, documentation, and segregation of damaged goods, LFS (Loose From Set), near-expiry, or quarantined items.
- Recommend appropriate disposition or corrective actions.
Continuous Improvement
- Identify operational inefficiencies and propose improvements in receiving workflows, space utilization, staffing levels, and use of warehouse technologies.
System Utilization
- Ensure accurate data entry and usage of Warehouse Management Systems (WMS) or Enterprise Resource Planning (ERP) software. Train staff in system usage and troubleshooting as necessary.
Vendor Relations
- Work with vendors and logistics providers to resolve delivery issues and improve delivery performance.
Qualifications:
- A bachelor's degree in a relevant field, such as engineering, logistics, or supply chain management, is required.
- Previous experience as a warehouse supervisor or a similar management position.
- Strong leadership skills with the ability to motivate and manage a team effectively.
- Excellent organizational and problem-solving abilities to optimize warehouse operations.
- Sound knowledge of warehouse management systems and order processing systems.
- Proficiency in using computer applications, such as MS Office suite and inventory management software.
- Strong attention to detail with a focus on maintaining high levels of accuracy in order fulfillment.
- Ability to work under pressure, meet tight deadlines, and handle multiple tasks simultaneously.
- Excellent communication skills to effectively collaborate with warehouse staff, management, and other departments.
- Knowledge or experience in beauty and personal care products is a plus.
