Position Overview:
We are seeking a detail-oriented Transaction Coordinator to support our highvolume real estate law practice. This role is heavily focused on transaction coordination and administrative support, requiring exceptional English communication skills and proficiency with case management systems. This is a full-time, 40-hour per week position that requires someone who can handle multiple tasks efficiently, adapt to varying workloads, and grow with our practice. The ideal candidate will be responsible for managing real estate files, coordinating with various stakeholders including municipalities and clients, and maintaining our Smokeball case management system.
Key Responsibilities
Primary Duties
- Assist with high-volume real estate transaction processing
- Support file opening procedures for new real estate contracts (heavy Monday workload) • Assist with Friday attorney review preparations and closing coordination
- Manage case files and documentation in our case management system
- Handle task-oriented workflows following established procedures
- Support transaction coordination activities
- Maintain accurate records and client communications
Additional Responsibilities
- Conduct research on various real estate and legal matters
- Call municipalities for final water readings and other property-related inquiries
- Assist with process documentation and workflow optimization
- Handle administrative tasks during slower periods
- Support general office operations as needed
- Learn and adapt to new processes and software as the practice grows
Required Qualifications
- Experience in legal services, preferably real estate law
- Background as a real estate assistant or transaction coordinator strongly preferred
- Strong organizational skills and attention to detail
- Ability to handle multiple tasks simultaneously
- Excellent written and communication skills in English
- Reliable high-speed internet connection
- Comfortable working independently in a remote environment
- Ability to work full-time, 40 hours per week
Preferred Qualifications
- Experience with Smokeball case management software (highly preferred)
- Previous experience with real estate transactions from a legal perspective
- Familiarity with Chicago-area real estate practices
- Experience calling municipalities and government offices
- Knowledge of real estate closing processes
- Background in high-volume, process-driven legal environments
Work Schedule & Availability
- Full-time Position, 40 hours per week
- Schedule: 8:00 AM - 5:00 PM Central Standard Time (CST)

Pay: Php40,000.00 per month
