Job Summary
As a Logistics Dispatch Agent, you’d be the first point of contact between customers and drivers handling incoming calls, coordinating dispatch activities, and ensuring timely deliveries while maintaining records.
Responsibilities
- Coordinate the scheduling and dispatching of drivers and vehicles for on-time delivery
- Monitor and track delivery progress; provide updates to customers and other departments
- Assign and dispatch “will calls” and STAT deliveries
- Update or modify stops in planning and review route sheets
- Answer and dispatch incoming calls via client and courier systems; act as main contact for dispatch inquiries
- Maintain communication with drivers, customers, and stakeholders
- Respond to inquiries via telephone, email, chat, or text per corporate performance standards
- Monitor the online dispatch board for potential issues and resolve them promptly or escalate as needed
- Assist drivers to ensure routes meet client expectations
- Use web-based tools and reports; maintain accurate dispatch logs and shift turnover documentation
- Ensure compliance with regulatory and company standards (e.g., HIPAA, PHI)
- Identify opportunities to improve dispatch efficiency
- Follow company policies and maintain confidentiality
- Perform additional duties as assigned by management
Qualifications
- Experience in logistics, not necessarily freight
- Excellent organizational and communication skills—both written and verbal
- Ability to write routine reports and perform effectively in calls and group settings
- Understanding of relevant laws and regulations, including confidentiality, PHI, and HIPAA
- Proficiency in Microsoft Office (e.g., Excel, Word) and logistics software.
- Strong problem-solving skills and attention to detail
- Ability to work in a fast-paced environment with multiple simultaneous tasks
