The External Executive Secretary serves as the CEO/President’s assistant for off-site, public, and client-facing functions, providing documentation, coordination, and representation support.
Duties and Responsibilities:
1. Accompany the CEO/President during external engagements, business trips, orfield inspections.
2. Serve as the CEO’s representative in field meetings, external functions, and siteinspections when required.
3. Facilitate coordination between the office and external locations, clients, or suppliers.
4. Prepare and file external reports, client documentation, and field updates.
5. Take notes, document meeting highlights, and provide timely updates to theCEO.
6. Organize logistical requirements for site visits and off-site meetings.
7. Handle travel arrangements, permits, and venue coordination for externalactivities.
8. Ensure safety, comfort, and support of the CEO during off-site functions.
9. Relay critical information or urgent matters to the CEO from external stakeholders.
