About the Role
As a Freight Enquiry Officer, you'll manage a diverse set of tasks, from tracking packages and resolving delivery issues to coordinating with various freight providers and handling invoicing for pallets. You'll work across multiple systems and platforms, requiring a keen eye for detail and the ability to multitask effectively. This role demands strong communication skills and a proactive approach to problem-solving.
Key Responsibilities
- Freight Inquiry Management: Handle inquiries across various carriers including Australia Post, Toll, Seko, Border Express, Allied Express, DHL, Couriers Please, and Aramex. This includes:
- Performing Item Searches to locate parcels and shipments.
- Investigating and resolving Delivery Issues.
- Processing Return to Sender (RTS) Requests.
- Obtaining Proof of Delivery (POD) Requests.
- Managing Redirection Requests for packages.
- Initiating Call for Return procedures.
- Engaging with Live Agents for complex issues when required.
- Scale Operations:
- Obtain Order Item Descriptions and Shipment Packlists.
- Retrieve Order Container Information and Archived Order Information.
- Inbox and Follow-up Management:
- Manage the Freight Enquiry Inbox, including Courier Follow-ups and Email Clearing and Archiving.
- Conduct Enquiry Follow-ups, including Overdue Ticket Follow-ups and Track Order statuses.
- Pallet Invoicing & Administration:
- Utilize Gmail/Google Drive for CHEP and Loscam pallet inquiries.
- Liaise with 2IC (Second in Charge) for CHEP and Loscam matters.
- Perform Pallet Batching.
- Handle Reinstatement/Rejection processes for CHEP and Loscam pallets.
- Transport Coordination:
- Process Cartage Advice (CA) and Electronic Delivery Orders.
- Clear Statuses and Update Wharf Milestones.
- Manage Port Slot Notifications.
- Update new containers for MYE, KGN, and T&W.
- Handle Scheduling for both cartage provided and non-cartage provided services, including specific scheduling for Kogan and T&W.
- Clear Transport Inbox.
- Experience: Proven experience in a customer service, logistics, or freight coordination role, ideally within an Australian context.
- Communication Skills: Excellent verbal and written communication skills with the ability to clearly convey information and resolve issues professionally.
- Problem-Solving: Strong analytical and problem-solving abilities with a proactive approach to identifying and resolving complex freight inquiries.
- Technical Proficiency: Proficient in using various software systems, online portals, and Microsoft Office Suite (especially Outlook, Excel). Experience with logistics or freight management software is highly regarded.
- Attention to Detail: Meticulous attention to detail to accurately track shipments, manage documentation, and process inquiries.
- Organizational Skills: Exceptional organizational skills with the ability to manage multiple tasks, prioritize effectively, and meet deadlines in a fast-paced environment.
- Team Player: Ability to work collaboratively within a team environment and independently when required.
- Adaptability: Comfortable adapting to new processes, systems, and changing priorities.
