Position: Records Department Assistant – Procedural Medical Records
Overview:
We are hiring a dedicated and detail-oriented Records Department Assistant to manage procedural medical records and billing related to personal injury cases. This role involves preparing and organizing complex medical documentation, coordinating with legal representatives, and ensuring accurate, HIPAA-compliant record handling. If you have experience in medical records and are familiar with surgical or procedural documentation, this is a great opportunity to contribute in a remote legal-medical support role.
Key Responsibilities:
- Procedural Records Management
Organize, compile, and prepare detailed procedural medical records (e.g., surgery reports, diagnostic imaging, treatment notes) and billing statements for legal case submissions.
- Communication with Legal Teams
Initiate and respond to calls and emails from attorneys and legal staff to gather missing records, provide status updates, and clarify billing information.
- Billing & Documentation
Generate accurate patient billing statements, itemize procedural charges, and verify that all supporting documents are complete and consistent.
- Records Fulfillment & Quality Check
Retrieve, format, and send requested records and bills to law firms, ensuring all files meet legal requirements and are free of omissions or inconsistencies.
- Data Entry & Compliance
Input case and billing information with accuracy while maintaining strict confidentiality under HIPAA and internal data protocols.
- Tracking & Follow-Up
Monitor request queues, follow up with third-party providers or law firms as needed, and log all activities for accountability.
Qualifications:
- Experience in medical records handling, particularly with procedural documentation (surgeries, diagnostics, therapies, etc.).
- Prior administrative support experience in a medical or legal setting is highly preferred.
- Strong understanding of HIPAA compliance and patient data privacy.
- Excellent communication skills in English (spoken and written).
- Highly organized, detail-oriented, and capable of managing complex case files independently.
- Proficient with Microsoft Office tools (especially Teams) and Google Workspace (especially Google Sheets).
- Comfortable working with PDF editing tools like Adobe Acrobat.
Work Schedule:
Monday to Friday | 9:00 PM – 6:00 AM Philippine Time

Pay: Php35,000.00 per month
