Import Documentation Specialist is responsible for ensuring accurate and timely preparation, submission, and monitoring of import documentation in compliance with customs regulations and company policies. Responsible for supporting international trade operations and facilitating the smooth flow of goods across borders.
Responsibilities:
- Prepare and process import documentation including invoices, packing lists, bills of lading, certificates of origin, and other required documents
- Coordinate with freight forwarders, customs brokers, and shipping lines to ensure proper and timely filing of import entries.
- Monitor shipment status and ensure required documents are received before goods arrive.
- Ensure full compliance with customs laws, rules, and regulations.
- Submit accurate documentation for customs clearance and respond to customs inquiries.
- Track HS codes, product classifications, and duty/tax implications.
- Liaise with suppliers, internal departments (procurement, finance, warehouse), and third-party providers to facilitate timely document submission and cargo release.
- Notify internal teams of shipment arrival timelines and any potential delays.
- Maintain organized records of all import documentation for audits and compliance reviews.
- Generate and submit weekly/monthly reports on shipment and document status.
QUALIFICATIONS:
- Bachelor’s Degree in BS Customs Administration or supply chain related field
- At least (2) years of working experience in Freight Forwarding, Customs or Logistics (Import and Export)
- Able to drive motorcycle; has driver’s license
- Highly knowledgeable on Customs processes and laws
- Familiarity with Incoterms and HS code classification.
- Proficiency in MS Office and logistics management systems, and other productivity tools
- Attention to detail, organizational skills, and time management.
- Good written and verbal communication skills.
- Ability to handle multiple shipments and deadlines simultaneously.
- Client oriented, strong interpersonal skills, and a positive attitude dealing with people
- Excellent negotiation skills
- Proactive and adaptable to changing work environments
- Can start as soon as possible.
