Role Summary
The Operations Manager is responsible for overseeing and streamlining day-to-day business activities to ensure operational efficiency, regulatory compliance, and ongoing improvement. This role manages key areas such as quotation processing, purchasing coordination, and warehouse operations. The position plays a pivotal role in aligning team objectives with broader company goals, driving cross-department collaboration, and enhancing performance through process innovation and compliance oversight.
Key ResponsibilitiesOperational Leadership
- Design and implement systems to ensure smooth operations across quotations, purchasing, and warehouse activities.
- Ensure the Customer Service Department (CSD) adheres to standards for timely and accurate quotation handling.
- Coordinate the order fulfillment process, promptly addressing customer inquiries and complaints.
- Supervise warehouse operations to maintain standards in inventory control, receiving, and shipping.
- Align operational goals with overall business strategy.
- Engage with customers to identify inefficiencies and co-create process improvements.
Team Management and Development
- Lead, mentor, and guide the operations team while fostering a culture of continuous learning and development.
- Support career growth and succession planning by coaching team members.
- Encourage transparent communication within the team and with other departments.
Process Improvement & Compliance
- Drive initiatives aimed at improving operational effectiveness, reducing costs, and enhancing customer satisfaction.
- Ensure adherence to ISO standards, internal policies, Customs, and PEZA requirements.
- Maintain audit readiness through regular assessments and ongoing enhancements.
Reporting & Escalation Handling
- Provide consistent performance reports to senior management, focusing on key business indicators.
- Handle escalations and special requests with practical and timely solutions.
- Take the lead on special projects as needed to support business priorities.
Qualifications
- Bachelor’s degree in Business Administration or equivalent education and experience.
- At least 5 years of experience in operations or a related field.
- Strong command of English in both written and verbal communication.
- Demonstrated experience in managing teams and driving process improvement.
