Key Responsibilities:
1. Lead Management and Encoding
- Encode all inquiries received through Facebook, calls, emails, and walk-ins into the Sales Monitoring Sheet.
- Assign and tag leads to the appropriate Sales Associate as instructed.
- Track follow-ups and update lead status regularly.
2. Sales Documentation
- Prepare and process Sales forms, quotations, and job orders.
- Maintain organized records of approved proposals, contracts, and client correspondence.
- Assist in scanning, filing, and storing documents both digitally and physically.
3. Client Coordination Support
- Coordinate with clients for basic inquiries, follow-ups, and schedule confirmations.
- Relay concerns or special requests to Sales Associates or Sales Admin Supervisor.
- Provide courteous and timely responses to client inquiries.
4. Internal Coordination
- Liaise with Operations and Accounting teams regarding confirmed sales and job orders.
- Ensure proper handover of approved job orders to concerned branches or departments.
- Update the team on pending requirements or documentation needs.
5. Reporting and Monitoring
- Submit daily and weekly reports on inquiries, conversions, and pending documents.
- Monitor and alert the team on delays in document submissions or incomplete requirements.
- Assist the Sales Admin Supervisor in preparing sales reports when needed.
Qualifications
- Bachelor’s degree in Business Administration, Marketing, or a related course.
- At least 6 months to 1 year of experience in administrative or sales support roles (fresh graduates are welcome to apply).
- Proficient in Microsoft Excel and Google Sheets.
- Detail-oriented, organized, and can handle multiple tasks efficiently.
- Strong communication and coordination skills.
- Familiarity with customer service or sales processes is an advantage.
- Willing to work flexible hours and respond to urgent documentation needs if required.
