Position Overview:
We are seeking a highly organized and detail-oriented Accounting Project Assistant -_Vantaca (Remote)_ to support accounting operations and assist with our transition to the Vantaca property management system. This role will involve a variety of project-based assignments with a focus on vendor communications, invoice processing, and system-related tasks. Prior experience with Vantaca is required. Fluency in English and the ability to communicate clearly over the phone and in writing is essential.
Key Responsibilities:
- Contact vendors to explain the proper method of submitting invoices and request revisions when invoices are submitted incorrectly.
- Contact vendors with expired insurance and missing documentation, and update Vantaca as needed.
- Call vendors to update bank account details for auto-draft payments.
- Answer billing questions from owners.
- Set up service contracts in Vantaca.
- Monitor unassigned action item queue.
- Participate in various ad-hoc projects related to the Vantaca system rollout and general accounting operations.
Qualifications:
- Prior experience using Vantaca is required.
- Familiarity with accounting processes and systems such as AvidXchange is a plus.
- Strong spoken and written English skills — ability to communicate clearly with vendors by phone and email is a must.
- Excellent attention to detail and organizational skills.
- Ability to follow instructions, work independently, and meet deadlines.
- Willing to work full time remotely 40 hours a week following US Timezone
