The Administrative Assistant plays a vital role in supporting the People Excellence Department by ensuring the smooth execution of clerical, operational, and HR-related functions across all Joji Ilagan Colleges and Foundation (JICCF) institutions. This position demands precision, confidentiality, and proactive coordination to uphold institutional excellence and compliance.
Key Responsibilities
- Clerical and Documentation Support
- Prepare, organize, and maintain physical and digital files, including statutory documents (e.g., SSS, PhilHealth, Pag-IBIG, TIN).
- distribute internal memos, notices.
- Draft and format Minutes of the Meeting (MOM)
- meeting minutes with accuracy and timeliness.
- Encode and update employee records and departmental logs.
- Act as a runner for inter-campus and inter-departmental communications, ensuring timely delivery and receipt of documents and materials.
- Liaise with various JICCF institutions to consolidate HR requirements and ensure uniform compliance.
- HR Support Functions
- Assist in onboarding processes, document collection, and employee file management.
- Support HR activities such as training sessions, compliance audits, and employee engagement events.
- Maintain confidentiality and professionalism in handling sensitive HR data.
- Utilize Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) with advanced proficiency, including mail merges, pivot tables, and formatting tools.
- Consolidate reports, presentations, and spreadsheets for HR and management use.
- Meeting and Event Documentation
- Attend departmental and institutional meetings to record and finalize minutes.
- Ensure timely dissemination of meeting outcomes and action points to relevant stakeholders.

Qualifications
- Completion of a Bachelor's degree in Human Resources, Business Administration, or related field preferred.
- At least 1–2 years of administrative or HR support experience.
- Strong command of written and verbal English communication.
- High level of organizational discipline and attention to detail.
- Ability to multitask and meet deadlines in a fast-paced environment.
- Professional demeanor and commitment to institutional confidentiality.
Preferred Skills
- Familiarity with HR policies, labor standards, and statutory compliance.
- Experience in coordinating across multiple campuses or departments.
- Knowledge of basic graphic design or layout tools (e.g., Canva, Publisher) is a plus.
- Ability to work independently while maintaining alignment with departmental goals.
