Key Responsibilities:
1. Encoding of Employee Attendance:
- Accurately encode the time in and time out of branch employees on a daily basis, ensuring proper documentation and adherence to company attendance policies.
2. Handling Leasing Contracts:
- Receive leasing contracts from various branches.
- Forward contracts to the Chief Operating Officer (COO) for review and signature.
- Prepare a formal transmittal for documentation and tracking purposes.
3. Coordination with Mall Administrations:
- Establish and maintain communication with mall administrators for all branch-related concerns.
- Coordinate kiosk repairs, maintenance, fire extinguisher inspections, and receive or disseminate official memorandums.
- Ensure timely and accurate reporting and resolution of all concerns related to branch operations.
4. Processing Budget Requests of Branch Employees:
- Receive budget requests from branch employees.
- Print and certify requests with approval from Accounting Manager.
- Once certified, forward the requests to the Accounting Department for processing.
5. Handling Sales Invoice Requests:
- Receive sales invoice requests from all branches.
- Forward requests to Liaison Staff for processing.
- Coordinate with branch employees in case of concerns or issues related to the invoices.
6. Responding to Branch Concerns:
- Address and respond to concerns raised by Beauty Sales Consultants or Marketing Assistants.
- Verify the concerns before forwarding them to the relevant department for further action.
7. Receiving and Processing Audit Reports:
- Review audit reports to identify any findings related to kiosks.
- Check if Incident Reports and Authority to Deduct forms are included in the findings.
- Forward the necessary documents to the HR Department for proper action.
8. Incident Report Coordination:
- Communicate with auditors regarding any incident reports involving employees.
- Ensure proper documentation and follow-up on audit findings related to employee incidents.
9. Insurance Requirements Handling:
- Gather and complete all necessary insurance requirements for branches.
- Forward the completed requirements to the Branch Officer for payment processing.
10. Verification of Employee Daily Time Records (DTR):
- Review and verify the Daily Time Records of branch employees for each cut-off period.
- Ensure accuracy and completeness of records before submission to the HR Department.
11. Additional Duties:
- Perform other duties and responsibilities as assigned by management, in accordance with company policies and operational requirements.
Key Skills & Qualifications:
- Bachelor’s degree in Business Administration, Human Resource Management, Office Administration, or a related field.
- At least 1 year of experience in administrative roles, HR operations, or branch operations management.
- Experience in handling documentation, coordinating with external entities (e.g., mall administrators, auditors), and verifying attendance records is preferred.
- Ability to work well with diverse teams, including auditors, liaison staff, branch officers, and branch employees.
- Capability to handle sensitive issues (e.g., incident reports) with discretion and professionalism.
- Strong organizational skills and keen attention to detail, especially in verifying documents, preparing transmittals, and encoding data accurately.
- Willingness to take on other duties as assigned by management.
- Flexibility in managing various tasks simultaneously under minimal supervision.
