Administrative Assistant supports the daily operations of our office. The ideal candidate will be responsible for managing administrative tasks, ensuring smooth workflow, and supporting team members with scheduling, correspondence, and other clerical duties.
Duties & Responsibilities
- Manage and organize office files, records, and databases
- Answer and direct phone calls and respond to emails in a professional manner
- Schedule appointments, meetings, and coordinate calendars
- Prepare reports, memos, and other documents as needed
- Maintain office supplies inventory and place orders when necessary
- Assist with data entry, invoice processing, and maintaining financial records
- Greet visitors and provide general support to clients and staff
- Support team members with various administrative tasks and projects
- Ensure confidentiality and data security practices are maintained
Qualifications
- Bachelor’s degree in Business Administration, Healthcare Management, or a related field (preferred).
- At least 2-3 years of experience in scheduling, administrative support, or customer service, preferably in an aesthetic or healthcare setting.
- Strong organizational and time-management skills.
- Excellent communication and interpersonal abilities.
- Proficiency in scheduling software and office applications.
- Ability to handle multiple tasks efficiently while maintaining attention to detail.
- Professional, courteous, and patient-focused approach.
