Job Title: Billing Assistant

Job Summary:
The Billing Assistant is responsible for preparing, issuing, and monitoring accurate billing statements to homeowners and residents. This role ensures timely collection of dues, maintains up-to-date financial records, and provides excellent customer service related to billing concerns in a horizontal property setting, such as a subdivision or homeowners association (HOA).
Key Responsibilities:
- Prepare and issue monthly Statements of Account (SOA) to homeowners for association dues, penalties, and other charges.
- Monitor billing cycles and ensure the accuracy of account details in the billing system.
- Post payments, adjustments, and collections in the accounting or property management software.
- Follow up on overdue accounts and send collection notices as necessary.
- Coordinate with the Property Manager and Security Team on payment compliance.
- Attend to inquiries and concerns of homeowners regarding their billing statements.
- Maintain and organize physical and digital billing records.
- Generate billing reports for management review.
- Assist in year-end audits and preparation of financial statements.
- Help improve billing processes and collection efficiency.
- Perform other administrative and accounting tasks as required.
Qualifications:
- College graduate, preferably in Accounting, Finance, Business Administration, or a related field.
- At least 1 year of experience in billing, accounting, or administrative roles (experience in a property management or HOA setting is a plus). BUT fresh graduates are also encouraged to apply
- Proficient in MS Excel and billing/accounting software (e.g., QuickBooks, SAP, or customized HOA systems).
- Strong attention to detail and organizational skills.
- Good interpersonal and communication skills.
- Ability to handle sensitive information with confidentiality.
- Willing to work on-site in General Trias, Cavite.
Working Conditions:
- Office-based within the subdivision or management office.
- May occasionally be required to coordinate with homeowners or attend meetings.
- Regular office hours, with occasional overtime depending on billing cycle deadlines.
