Job Purpose
Responsible for providing administrative and clerical support to the project site, ensuring accurate and timely recording of workers’ attendance, daily accomplishments, and manpower reports. The role ensures proper documentation, coordination with project staff, and compliance with company policies to support efficient site operations and payroll processing.
Duties and Responsibilities
A. Timekeeping & Attendance
-Record and monitor daily attendance, absences, late arrivals, and overtime of site personnel.
- Verify and reconcile daily time records with actual site deployment.
- Prepare and submit daily/weekly/monthly manpower reports to management.
- Ensure accuracy of timesheets for payroll processing.
- Payroll distribution (as needed).
B. Site Administration & Documentation
- Maintain and organize site records such as Daily Time Records (DTR), Daily Accomplishment Reports (DAR), permits, and other administrative files.
- Assist in the preparation and submission of project-related reports and documentation.
- Handle filing, encoding, and safekeeping of important project documents such as plans, contracts, pernits, inspection documents and other construction related documents.
- Coordinate with HR/Accounting for submission of payroll-related documents.
C. Support to Project Operations
- Assist project engineers and site managers in monitoring manpower distribution.
- Provide administrative support for site meetings, communications, and logistics.
- Coordinate with the team regarding attendance and manpower concerns.
- Ensure compliance with company policies, procedures, and safety regulations in all administrative tasks.
D. Other Duties
- Perform clerical tasks such as photocopying, scanning, and emailing as required.
- Assist in the preparation of other site forms.
- Carry out other tasks as may be assigned by the Project Manager or Site Engineer.
Job Requirements
A. Education: Graduate of any 4-year course (Business Administration, HR, Accounting, or related field preferred).
B. Experience: At least 1–2 years of experience in timekeeping, payroll support, or site administration (preferably in construction). Familiarity with construction site operations and manpower reporting is an advantage.
C. Skills & Competencies: Proficient in MS Office (Excel, Word, Powerpoint); knowledge of payroll/timekeeping systems is an advantage. Strong organizational and record-keeping skills. Accuracy and attention to detail in data encoding and reporting. Good communication and interpersonal skills for coordination with site personnel and management. Ability to handle confidential and sensitive information.
D. Other Requirements: Must be willing to be assigned on-site (project location). Can work under pressure and meet tight deadlines. Honest, reliable, and proactive. Willing to work overtime and weekends if needed.
