The Project Management Support / Admin plays a vital role in ensuring the smooth execution of corporate projects within the Project Management Office (PMO). This role provides administrative and coordination support to the Strategic Planning and Execution Manager, assisting in project tracking, documentation, reporting, and stakeholder coordination. The position ensures that all agreed Critical Corporate Projects are effectively monitored and executed to support FELCO’s overall goals, including revenue growth, operational efficiency, and retention.
Key Responsibilities:
1. Project Administration & Documentation
- Maintain project documentation, including charters, timelines, reports, and meeting minutes, following FELCO’s Project Templates.
- Ensure all project-related records are current and properly organized in PMO databases.
- Assist in preparing presentations, reports, and summaries for leadership updates.
- Develop and manage a centralized repository for all project assets to ensure easy retrieval, compliance, and insights from project learnings.
- Track document versioning and ensure alignment among stakeholders on key updates.
- Ensure that all documentation reflects project contributions to FELCO’s strategic goals and performance targets.
2. Project Tracking & Coordination
- Monitor project progress and update tracking tools to ensure milestones and deadlines are met.
- Coordinate with project team members to gather status updates and compile reports.
- Assist in risk identification and follow up on action plans to mitigate issues.
- Track interdependencies between projects and flag potential conflicts or delays.
- Maintain a risk and issue log, ensuring timely escalation and resolution.
- Ensure that critical corporate projects remain on schedule and aligned with FELCO’s strategic growth objectives.
3. Meeting & Communication Support
- Schedule and organize project-related meetings, ensuring key stakeholders are informed and prepared.
- Document meeting discussions, action items, and follow-ups, ensuring alignment with project goals.
- Communicate key updates and reminders to project teams and relevant departments.
- Develop standardized meeting templates and protocols to improve meeting efficiency and documentation consistency.
- Manage stakeholder communication plans to ensure timely dissemination of project updates.
- Ensure project status reports highlight how initiatives contribute to FELCO’s overall goals and 11% growth target for 2025 and the year on year targets to achieve 2030 goals.
4. Administrative & Operational Support
- Manage project-related procurement requests, expense tracking, and budget documentation.
- Assist in onboarding and training project team members on PMO tools and processes.
- Track project resource allocations to ensure optimal utilization and avoid bottlenecks.
Qualifications & Competencies:
- Education: Bachelor’s degree in Business Administration, Management, Project Management, or a related field.
- Experience: 2–3 years of experience in project coordination, administrative support, or a related role, preferably in a corporate or project-driven environment.
- Skills & Abilities:
- Familiarity with project management methodologies.
- Strong organizational and multitasking skills.
- Proficiency in project management tools (e.g., MS Project or similar).
- Excellent communication and interpersonal skills.
- Ability to work in a fast-paced environment and manage multiple priorities.
- High attention to detail and ability to maintain accurate records.
- Strong analytical and problem-solving skills to identify inefficiencies and propose solutions.
- Ability to manage sensitive information with confidentiality and discretion.
