Position Overview:
We are seeking full time Customer Service Representative (Remote) that will serve as a key point of contact for homeowners, providing high-quality customer service and administrative support for community association management.
Responsibilities:
- Answer minimum 100 calls weekly
- Complete 75%+ call logs
- Provide account balance information to owner: if payment has been received
- Send transaction history report as requested
- Update Association calendar as requested
- Generate statements upon requests
- Send coupon books as requested
- Update owner contact information as requested
- Add/remove tenants from owner account
- Add leases
- Send owners governing documents as requested
- Provide owners remittance address if requested
- Assist owner with making a payment
- Assist owner with setting up autopay
- Assist owner with getting logged into portal
- Assist owner with proper form and details for ARC submission and monitor status
- Assist owner with information on open violations
- Submit fee waiver requests upon request to manager
- Create compliance issues (violations) as directed by CAM
- Arrange clubhouse rentals
- Update Association calendar as requested
- Check and send documents in print queue
- Answer owner emails through outlook
- Answer owner emails through dashboard
- Review action items assigned to CS and either handle or step to manager if needed
- Complete unread messages
- Submit pool key requests
- Activate pool keys
- Trouble shoot access devices
- Add owners/tenants to call boxes
- Update information in call boxes
- Return missed calls
- Change billing address for utility invoices
- Assist CAMs with HOA mailers
- Monitor and update community changes of assigned communities
Preferred Skills/Qualifications:
- Preferably with experience using AppFolio or other property management software
- Proven experience in a customer service or support role (minimum 2-3 years preferred)
- Excellent Communication Skills
- Ability to work efficiently in a fast-paced, team-oriented environment
- Ability to handle difficult conversations with professionalism and empathy
- Willing to work full-time (40 hours per week) following US time zones
