Jatro Strata Services BPO is a Philippines-based outsourcing workforce that helps strata businesses to focus on their core functions. As a specialized staffing company, Jatro provides administrative and professional back office support for businesses.
We are looking for a detail-oriented and efficient Document Specialist to join our Team. In this role, you will be responsible for managing and processing critical strata documents, ensuring all records are accurate, compliant, and up-to-date. Your work will support strata managers, property owners, and committees in maintaining transparency and regulatory compliance.
You will play a key role in the smooth operation of document workflows, helping ensure our clients receive timely and accurate information.
Key Responsibilities
- Prepare, review, and manage a variety of strata-related documents, including meeting notices, agendas, minutes, levy notices, compliance certificates, and contracts.
- Maintain organized digital records and filing systems for easy retrieval and compliance.
- Coordinate with strata managers and other stakeholders to ensure timely distribution and accuracy of documents.
- Assist in drafting correspondence and formal notices in line with strata legislation and company standards.
- Monitor document timelines and deadlines to ensure timely completion and distribution.
- Handle requests for document searches, certificates, and records from owners, buyers, and legal representatives.
- Ensure documents meet relevant legislative requirements and internal policies.
- Support the team with general administrative duties and reporting related to document management.
Qualifications & Skills
- Experience in document control, administration, or a similar role—preferably in the strata, legal, or property management industry.
- Strong attention to detail and accuracy.
- Excellent written and verbal communication skills.
- Proficient in using document management systems and office software (Microsoft Office, Google Workspace, Urbanise, StrataMax, any Strata software or similar platforms)
- Ability to manage multiple tasks and deadlines in a fast-paced, remote team environment.
- Familiarity with Australian strata legislation and documentation is highly desirable.
- Ability to handle confidential information with discretion and professionalism.
