Job Description
The Documentation Controller – Import & Export is responsible for preparing, reviewing, and managing all shipping and customs-related documents to ensure the smooth import of raw materials and export of finished furniture products. This role ensures compliance with customs regulations, international trade requirements, and company policies while coordinating with suppliers, freight forwarders, and internal teams for timely and accurate shipment processing.
Key Responsibilities:
1. Documentation Management
- Prepare and review import and export shipping documents, including Commercial Invoices, Packing Lists, Bills of Lading, Certificates of Origin, and other required certificates.
- Maintain accurate and organized records of all import and export transactions.
- Ensure all documentation complies with customs and trade regulations in both origin and destination countries.
2. Import Coordination
- Liaise with overseas suppliers to secure necessary shipping documents for raw materials and furniture components.
- Track inbound shipments and coordinate with freight forwarders, customs brokers, and warehouse teams for timely clearance and delivery.
- Monitor and verify accuracy of HS codes, product descriptions, and declared values for customs purposes.
3. Export Coordination
- Prepare export documentation for finished furniture products to various destinations.
- Coordinate with logistics providers to ensure timely booking, container loading, and dispatch.
- Ensure proper labeling, packing, and documentation for export compliance.
4. Compliance & Reporting
- Stay updated on international shipping regulations, customs procedures, and trade agreements affecting the furniture industry.
- Handle documentation for special permits (e.g., FLEGT licenses, fumigation certificates, BOC requirements).
- Prepare regular reports on shipment status, documentation lead times, and compliance performance.
5. Internal & External Coordination
- Work closely with Purchasing, Production, Sales, and Warehouse teams to align shipping schedules with business requirements.
- Communicate with freight forwarders, shipping lines, and customs agents to resolve documentation issues promptly.
Qualifications
- Bachelor’s degree in Business Administration, International Trade, Supply Chain Management, Customs Administration, or related field.
- Minimum 2–3 years of experience in documentation, shipping, or logistics, preferably in the furniture, manufacturing, or import/export industry.
- Familiarity with customs clearance processes and international trade documentation.
- Strong knowledge of import/export documentation requirements, HS codes, and INCOTERMS.
- Proficiency in MS Office applications and experience with ERP or logistics management systems.
- Excellent attention to detail and accuracy in handling documents.
- Strong organizational and time management skills.
- Good communication and coordination skills with both internal teams and external partners.
- Ability to work under tight deadlines and manage multiple shipments simultaneously.
- Knowledge of Philippine Bureau of Customs (BOC) procedures and relevant trade regulations.
- Willingness to work extended hours when needed for urgent shipments.
Job Type: Full-time
Pay: Php15,000.00 - Php18,000.00 per month
