Job Overview:
The Medical Coordinator plays a key role in supporting our day-to-day clinical operations. You will be the first point of contact for patients — from appointment setting and check-ins to LOA processing and aftercare coordination.
Beyond the front desk, this role includes collaborating closely with our physical therapists, physicians, and admin teams to ensure that every patient receives the care and attention they deserve. You’ll be trained on our internal systems and supported through hands-on coaching during your onboarding.
Reporting Location: P.A. Perez Physio – Mandurriao, Iloilo
Schedule: Full-time, Clinic-based (able to work on Sundays)
Key Responsibilities:
Patient Experience & Front Desk Coordination
- Welcome patients, manage check-ins, and provide orientation for first-time visitors
- Assist in handling patient inquiries and appointment bookings (in-person, via phone, or Facebook Messenger)
- Prepare and organize patient charts, consultation forms, and consent documentsSend appointment reminders and confirm upcoming bookings
HMO Coordination & LOA Processing
- Handle coordination of LOAs for consultations and therapy sessions (e.g., Maxicare, Avega, Intellicare)
- Ensure accuracy and timely follow-up for HMO patient approvals
- Submit required documentation to HMOs and assist in resolving coverage-related concerns
Program Enrollment & Aftercare Support
- Help explain treatment program recommendations post-consultation
- Schedule sessions and provide post-consultation materials (e.g., reminders, companion letters)
- Coordinate rebookings and follow-ups for unbooked or “dropped” patients
Reporting & Operations
- Assist in logging patient activity, reports, and record updates in HubSpot
- Support clinic inventory requests and notify team of missing supplies
- Maintain cleanliness and readiness of the front desk and waiting area
