Qualifications
- Bachelor's degree in Business Administration and other related course,
· 1–3 years of experience in purchasing, procurement, or a related administrative role.
· Strong organizational and time management skills.
· Excellent attention to detail and accuracy in data entry and documentation.
· Proficient in Microsoft Office (especially Excel, Word, and power point).
· Good verbal and written communication skills for dealing with vendors and internal teams.
· Basic negotiation and problem-solving skills.
· Ability to work under pressure and manage multiple tasks simultaneously.
· Knowledge of inventory management and cost control principles is a plus.
Job Description
The Purchasing Assistant is responsible for assisting the purchasing team in day-to-day operations, including placing orders, tracking deliveries, maintaining records, and communicating with suppliers. The role requires working closely with various departments to ensure timely and cost-effective procurement of materials, supplies, or services.
Key Responsibilities
- Assist in the preparation and processing of purchase orders and requisitions.
- Research and evaluate suppliers based on quality, price, and delivery time.
- Track orders and ensure timely delivery of goods and services.
- Maintain accurate records of purchases, pricing, and supplier information.
- Communicate with suppliers to confirm order details, resolve issues, or negotiate terms.
- Monitor inventory levels and coordinate with warehouse or inventory personnel.
- Support invoice processing and verify billing accuracy.
- Help maintain compliance with company procurement policies and procedures.
- Prepare reports on purchase activity, supplier performance, and cost analysis.
- Perform administrative duties such as filing, data entry, and documentation.
