You’ll keep property campaigns running smoothly—from booking photographers and creating brochures to managing listings, timelines, and settlement paperwork. Working with agents, clients, and suppliers, you’ll ensure every listing shines and every sale runs seamlessly. Position Overview:
The Sales and Marketing Admin Associate plays a vital role in supporting the real estate sales process from prospecting through to settlement. This position is responsible for coordinating marketing activities, managing property campaigns, handling administrative documentation, and liaising with agents, clients, and suppliers to ensure seamless service delivery. The ideal candidate will be highly organised, detail-oriented, and capable of managing multiple priorities in a dynamic environment.
Key Responsibilities:
Prospecting & Appraisal Support:
- Prepare appraisal kits, letters, and sales stats.
- Update CRM (Agentbox) with appraisal and contact details.
- Assist with database clean-up and follow-ups.
Listing & Marketing Coordination:
- Book photographers, floor plans, and copywriting.
- Build brochures, DLs, and proofs for agent approval.
- Enter listings and advertising schedules into RedHQ.
Campaign & Sales Support:
- Manage marketing timelines and auction/private sale preparation.
- Upload contracts and manage sold documentation.
- Send “Just Listed” and “Just Sold” letters and updates.
Finance & Settlement:
- Handle VPA invoices, commission sheets, and supplier approvals.
- Track settlement status and notify stakeholders.
General Admin & Reporting:
- Support weekly and monthly reporting tasks.
- Assist with internal training, onboarding, and ad-hoc admin requests.
- Liaise with vendors, clients, and internal team members.
Key Skills & Attributes:
- Strong organisational and multitasking abilities.
- Excellent communication and interpersonal skills.
- High attention to detail with a focus on accuracy and deadlines.
- Proactive, self-motivated, and team-oriented.
- Technologically confident – comfortable using CRM, marketing platforms, and Microsoft Office tools.
Experience & Qualifications:
- Previous experience in real estate, marketing, or administrative coordination preferred.
- Familiarity with Agentbox, RedHQ, or similar systems is advantageous.
- Understanding of property campaign processes, listing documentation, and finance workflows.
- Qualification in business administration, real estate, or marketing is a plus.
