The main function of the Secretary assigned to the Office of the President is to assist in maintaining the smooth running of the office through a variety of administrative and clerical duties in order to optimize workflow procedures in the Office of the President.
- Keeps the calendar of activities of the Office of the President up-to-date.
- Answers telephone calls and messages via social media, takes messages and/or refer it to appropriate staff of the Office of President.
- Acknowledges/Responds to e-messages received in the OP email address and/or refer it to appropriate staff of the Office of President, as necessary.
- Screens incoming correspondences, whether printed or electronic, and checks the completeness and accuracy, and refer it to appropriate staff of the Office of President.
- Releases approved memos/requests to the respective offices promptly.
- Ensures that urgent concerns are well-attended by coordinating simple instructions and routing of correspondences to appropriate staff member or office(s).
- Performs records management in the Office of the President, whether printed or electronic, by arranging office files in an orderly manner and keeping them in a safe & secure location.
Qualifications:
- Graduate of a Bachelor's Degree preferably a graduate of Office Administration or Business Administration
- Has good business writing skill.
- Atleast 1 year experience in the position or its equivalent.
