The Admin Supervisor is responsible for overseeing and coordinating administrative tasks, ensuring the smooth operation of daily office activities, and providing essential support to executives, employees, and clients. This role requires strong organizational skills, attention to detail, and the ability to manage multiple responsibilities efficiently.
Key Responsibilities
- Handling Administrative Requests: Provide general support to executives and senior managers.
- Appointment Scheduling: Organize and schedule appointments as needed
- Meeting Planning: Plan meetings and take detailed minutes during those meetings.
- Communication: Write and distribute emails, memos, and forms.
- Report Preparation: Assist in the preparation of weekly scheduled reports.
- Filing System Maintenance: Create and maintain a filing system.
- Office Policies and Procedures: Updating and maintaining office policies and procedures.
- Supply Management: Ordering office supplies and researching cost-effective suppliers.
- Contact Lists: Maintaining contact lists.
- Budget: Request and oversee petty cash and operational expense budgets.
- Expense Reports: Prepare, liquidate, and submit expense reports to the accounting department.
- Visitor Support: Provide general support to visitors.
- Sales Management: Handle B2C and B2B transactions, including quotations, invoicing, and payment collection.
- Client Relation: Serve as the primary point of contact for clients, ensuring smooth communication and service delivery.
- Collaboration: Coordinate with different departments for implementation and dissemination of information
- Inventory: Conduct weekly counting of stocks including finalization of stocks for replenishment
- Recruitment: Conduct screening and interviews of applicants, onboarding and offboarding of staff
- Finance: Record sales, manage deposits, and follow up on receivables for timely collection
- Staff Transportation Coordination: Plan and organize car routes for transporting staff to project locations
- Others: Other tasks that may be assigned by the management
Qualifications:
- Bachelor’s degree in Business Administration or related field preferred.
- Proven experience in administrative support and office operations.
- Strong organizational, communication, and multitasking skills.
- Proficient in MS Office and office management tools.
- Experience in sales processing, client coordination, and basic finance tasks.
- Knowledge in recruitment, onboarding, and staff coordination.
- Detail-oriented, flexible, and able to work with minimal supervision.
Job Type: Full-time
Pay: Php20,000.00 - Php25,000.00 per month
