Job Summary:
Our US-based Client is seeking a highly organized and skilled Finance and Executive Support Specialist for its nonprofit client (US Based). The role will provide critical support to the State Executive Director and full-time team. This full-time role will enhance the Network’s financial oversight, administrative efficiency, marketing capacity, and ability to serve the 36 Children’s Advocacy Centers (CACs) and their multidisciplinary teams (MDTs) across Alabama. The ideal candidate will bring a strong foundation in finance or accounting, executive-level administrative support, and a working knowledge of social media and marketing tools. They must be tech-savvy, detail-oriented, and able to manage multiple responsibilities in a dynamic nonprofit environment.
Key Responsibilities:
Financial and Grant Support:
- Track budgets and expenditures for multiple state and federal grants.
- Prepare and organize reimbursement documentation and assist with financial reports.
- Collaborate with the Grants and Compliance Coordinator to meet grant reporting deadlines.
- Research new funding opportunities and compile supporting materials for grant applications.
Executive and Operational Support:
- Provide administrative support to the State Executive Director and broader Network team.
- Assist with scheduling, meeting coordination, note-taking, document formatting, and internal communications.
- Prepare materials for board meetings and assist with ongoing project tracking and follow up.
- Serve as a point of contact and support resource for CACs and MDTs statewide.
Marketing and Communications:
- Create and manage marketing and outreach materials including newsletters, infographics, and social media content.
- Maintain the AL Network’s social media presence and help communicate organizational impact.
- Assist in developing donor communications and public-facing reports.
Technology, Software & Systems:
- Must be proficient in Microsoft Excel, Word, PowerPoint, and project management tools.
- Must demonstrate the ability to learn software quickly especially Coalition Manager, the tool used for membership tracking, reporting, and document storage.
- Support maintenance of centralized document storage systems for CACs and MDTs.
- Help streamline systems and improve digital organization for team-wide efficiency.
Job Specifications:
- Bachelor’s degree required in Finance, Accounting, Business Administration, or a related field.
- At least 3 years of professional experience in financial management, executive support, grant writing, and/or administrative operations.
- Proficiency with Microsoft Office Suite (Excel, Word, PowerPoint) and experience with project management or tracking software.
- Strong organizational and communication skills with attention to detail and confidentiality.
- Experience with marketing, social media platforms, and design tools such as Canva or Adobe Express.
- Must be a quick learner and adaptable to new technologies.
- Experience in nonprofit, child advocacy, or related human services fields is preferred.
