GBS Executive Assistant (Temporary)
Purpose of this position is to support the General Manager and Leadership team members by providing secretarial assistance, taking care of all office administrative activities and being in-charge of the Travel Desk, administrative day-to-day support; scheduling meetings and drafts correspondence/minutes; travel and conference arrangements; and other office management activities. Objective for this position is to provide efficient & effective administrative support to General Manager and Leadership team members by relieving them from managing day-to-day office administrative tasks.
As the GBS Executive Assistant in the area of General Management, you will be doing the following:
1.) Provide secretarial assistance to the General Manager and Leadership Team members: Provide comprehensive secretarial support to the General Manager and Leadership Team, including managing appointments and travel calendars. Responsible for the timely processing of personal and professional expenses such as travel claims, credit card payments, and bank account tracking. Handle confidential business documents and maintained organized filing systems. Coordinate management meetings, prepared meeting minutes, and followed up on agenda items and action plans and draft internal and external business correspondences as needed.
2.) Travel Desk Management: Manage the end-to-end travel arrangements for the management team. This includes coordinating with the company’s authorized travel agent to provide flight options aligned with business travel policies, tracking and updating travel records, and working with the Market Finance team on the payment and settlement of travel invoices and employee claims. The GBS Executive Assistant also ensures timely resolution of pending or disputed transactions with AMEX and the travel agent, and handles hotel and local transportation bookings by coordinating with administrative staff at the destination.
3.) General Office Administration: Manage general office administration tasks, including ensuring the proper upkeep and maintenance of offices and work locations used by the management team. The GBS Executive Assistant also ensures that all office assets, including communication equipment, are well-maintained, properly managed, and fully operational.
4.) Mobility, Immigration, and Relocation of IAs, STAs, and Local Plus: Oversee mobility-related activities, including liaising with the housing vendor, immigration services provider, and relocation vendor and coordinate all tasks and requirements related to employee mobility to ensure a smooth and efficient process
5.) Engagement: Manage all office engagement activities by coordinating with Local P&C, the Employee Synergy Team (EST), and other JTI entities, ensuring alignment and smooth execution of engagement initiatives across the organization
Who are we looking for?
- Graduate of any Bachelors degree
- Minimum 4-5 years of similar experience in Secretarial & Administrative function
- Excellent communication skills - English & Local Language
- Hands on experience in MS word, MS Excel & PowerPoint Presentations, preferably with certificate course in MS office applications
- Experience in international environment is an advantage
- Proven experience in visa/immigration process and events organization
- Organizational skills & multitasking
- Highly analytical and has good attention to detail
