Are you a detail-oriented administrator looking for a new challenge? Can you maintain accurate client data in Fin365, set up new prospect clients, and prepare executive summaries?

If your answer is yes, then WE WANT YOU!

We are looking for an AI Engineer who’ll be at the forefront of designing and deploying AI-powered solutions that improve both our internal operations and client-facing services.

As a Team Administrator, your duties and responsibilities include:

  • Manage accurate client data in Fin365, ensuring all private wealth and insurance details are up to date and correcting any discrepancies.
  • Facilitate client onboarding process by setting up new prospects in Fin365.
  • Support client review meetings by preparing concise financial summaries and generating required documents.
  • Generate and process forms for ongoing adviser fees, policy cancellations, and replacements.
  • Analyze advice documents to produce the necessary forms for implementing recommended strategies.
  • Assist with tax packs for Self-Managed Superannuation Funds (SMSFs) and coordinate their delivery to the client’s accountant.
  • Verify policy information by contacting insurance product providers and requesting policy rundowns for clients.
  • Ensure the correct settlement of asset trades and draft confirmation emails for clients.
  • Maintain and update Fin365 following client meetings and manage the admin team inbox, activating workflows as needed.
  • Identify and suggest process improvements to enhance team efficiency and assist with special projects and ad-hoc requests.

Qualifications:

  • Bachelor’s degree in Accountancy, Financial Management, Business, Banking and Finance, and Economics or any equivalent.
  • Proficient in Microsoft Office Suite (Word, Excel) with the ability to learn new financial software quickly.
  • Exceptional attention to detail and strong analytical skills.
  • Proven ability to work independently and manage meet deadlines during busy season.
  • Excellent communication skills (written and verbal) and strong interpersonal abilities.
  • A proactive mindset with a focus on process improvement.
  • Prior knowledge of financial products, providers, or platforms is highly advantageous.
  • Willingness to be assigned to Subic, Clark, Tarlac, Bataan, or Iba, Zambales.
