We are seeking a highly organized and detail-oriented Admin Staff member to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing administrative support, managing schedules, and assisting with various tasks. Responsibilities
- Manage calendars and schedule appointments for team members.
- Provide front desk support, greeting visitors and handling inquiries professionally.
- Maintain organized files and records to ensure easy access to information.
- Assist with bookkeeping tasks using QuickBooks, including invoicing and expense tracking.
- Support the team with administrative tasks such as data entry, document preparation, and correspondence.
- Act as a personal assistant to senior staff members as needed.
- Facilitate communication between departments and assist in project coordination.
- Ensure a welcoming environment for clients and visitors at the front desk.
Requirements
- Proficiency in Google Workspace applications (Docs, Sheets, Calendar).
- Bilingual skills are a plus, enhancing communication with diverse clients.
- Previous experience in an administrative role.
- Strong calendar management skills with the ability to prioritize tasks effectively.
- Excellent organizational skills with attention to detail.
- Ability to work independently as well as part of a team.
- Familiarity with file management systems and best practices for document organization.
